School Bus Rentals & Field Trips

The Management of all trips is the responsibility of the Transportation office. Drivers will offer safe courteous service at all times and are required to report all incidents and accidents that occur on the trip. Situations that may compromise safety and well being of any passenger will be addressed by contacting the Transportation Manager or Assistant.

Regulations and Laws

  • As PRSD carries Provincial Operating status, trips outside the Province of Alberta are not permitted.
  • Drivers must adhere to Provincial regulations regarding hours of service and log book use. (Alberta Safety Regulation 317/2002 Drivers Hours of Services)
    • A driver cannot drive in excess of 13 hours in a 24 hour day, nor be on duty for more than 15 hours.
    • A driver must stop and take a minimum of a 10 minute break when driving continuously for four (4) consecutive hours.
    • A driver may exceed four (4) consecutive hours, up to a maximum of six (6) hours when they must stop for a minimum of 30 minutes "off duty" or "non-driving" time.
  • No trip shall operate without the driver in possession of a trip permit.  Permits must be assigned for each trip and issued by the Peace River School Division Transportation Department. Permits must remain on the bus at all times.
  • All non-scheduled busses are required to report to vehicle inspection stations when directed
  • Alcohol and tobacco products are prohibited on a school bus

School Based Trips

  • Schools will be required to hire their own driver from a pre-approved “Field Trip Driver” list or may contact the designated driver in their area that will assign a driver to the trip.
  • Schools may choose to hire a division owned bus or rent from a private contractor.
  • Booked On or Booked Off status must be relayed to the driver at the time of hire. Drivers may choose to accept or deny the trip.
    • Booked ON: Driver is required to remain at the field trip site with the group. 
      • For safety purposes, trips to remote areas or out of town locations require the bus and driver to remain on duty unless alternate evacuation procedures are in place.
    • Booked OFF: Driver may leave and return later to pick up the group.  A driver will be paid a minimum of one (1) hour per trip.

  • Permit numbers must be assigned for each trip and are issued by the Peace River School Division Transportation department. Schools must provide all required information on the permit when requesting a trip number.
  • Permits for school based trips will be signed by the Principal.
  • Due to regulations and planning purposes, Itinerary must be provided to the Transportation Manager for review, before overnight trips will be approved.
  • The Principal or Trip Supervisor will ensure the permit is provided to the driver, before departure.
  • The bus driver will explain bus rules prior to departure and will ensure all regulations and rules are adhered too.
  • There will be at least one adult supervisor or teacher for each 20 students on the bus. The Supervisor will be responsible to ensure bus rules are followed.
  • When a bus has been scheduled and subsequently cancelled and when notice of the cancellation has not been give to the transportation office or to the bus driver the following will apply:
    • Where the bus driver was not required to make arrangements for his/her regular bus route, a charge will be made to one hour of waiting time.
    • Where the bus driver had arranged for a spare driver to complete the bus drivers regular route because the bus use was to happen at the same time as the field trip, and the bus driver was not able to cancel this arrangement, ta charge equal to the amount of the bus drivers regular route (1/99 of annual salary or portion thereof) shall be made plus any costs related to mileage.

Non-School Rentals

The community may have use of school buses for non-school purposes provided the use does not interfere with regular transportation of students. Administrative Procedure 569 - Use of Buses for Non-School Purposes

  • Applications for use of a school bus shall be submitted to the Transportation Services Manager at least three (3) weeks prior to the event.
  • No Smoking or consumption of alcoholic beverages shall be permitted on the bus.
  • No equipment shall be carried on the bus unless it is so contained that it does not interfere with the safety or egress of the passengers.
  • The bus shall be returned in a clean condition.
  • Failure to abide by any of the procedures will result in cancellation of the bus use privileges.
  • The Division has the right to refuse any or all use of buses for non-school functions.
  • Charges for school bus rental shall be established by Administrative Procedure 505 - Schedule of Rates.

  • The permit and assignment of a driver is the responsibility of the Transportation Department.
  • Permits for non-school rentals must be signed by the Transportation Manager.
  • The bus driver shall be responsible for the care and operation of the bus and shall have authority over all passengers and supervisors.
  • In the event that passengers consist entirely, or in part, of children, there shall be at least one (1) responsible adult supervisor for every 20 children.
  • Eating and drinking on the bus will be at the discretion of the bus driver.
  • The renting group shall be fully responsible for any damage caused to a bus for reasons deemed to be the fault of the group. This shall include the improper supervision of passengers.
  • All pertinent school bus regulations (Provincial or School Board) shall apply at all times.
